I. Purpose Top

The Fund Transfer Request Overview tool of the GMS allows users to display all (or filtered) active and inactive FTR instances in a Pooled Fund, as well as a prompt to create a new FTR. This overview can be downloaded as an Excel sheet.

II. Navigation Top

To access the FTR Overview tool, please follow this navigation: Report > Report > FTR Overview

You can also access the Report Overview through the Quick Access.

 

III. Filters Top

To generate an FTR Overview, select one or more filters from the filter section.

The filters available are:

  • Select Allocation Year (drop down box): Lists the years of allocation available in the GMS system for the pooled fund.
  • Select Allocation Type (drop down box): Lists the allocation types of all projects submitted in the GMS system.
  • Select Cluster (drop down box): List of clusters defined for the pooled fund.
  • Select Organization Type (drop down box): List of Organization Type in the pooled fund (International NGO, National NGO, Other, UN Agency).
  • Project Code (text box): Search a project by Project Code. You can insert several project codes separated by a comma.
  • Select Organization (drop down box): List of organization names registered for the pooled fund.
  • Select Admin Location 1 (drop down box): Lists the regional locations in the country which were configured in projects.
  • Implementation:
    • Duration: Choose a project duration configuration from the drop-down list (equal, less than, more than, between), and insert a number of months in the field(s).

  • Select FTR Status (drop down box): Lists the FTR statuses currently available (if other filters are applied, the statuses would be based on the criteria set above).

*Please note, if you change one or several of the top 4 filters, click on [reload filters] to reload the other filter possibilities. For instance, if you selected an additional allocation from the filter [Select Allocation type], click on [reload filters], as more options will show in the filter [Select Organization].

After applying the filters, click on [Click to filter] to generate the Overview.

Click on [Clear] to reset the entire set of filters.

 

IV. Create new FTR Top

You can create a new FTR directly from the FTR Overview page by clicking on [create new FTR].

This button will redirect you to the page of the GMS where you can create and manage FTR reports. To learn how to create and manage an FTR report, please refer to this article of the Help Portal.

 

V. Generated FTR Overview Top

The FTR Overview includes the following information:

Columns description:

  • FTR Number: Displays the unique FTR number. It will only show one entry per FTR report. Clicking on this number will direct the user to the FTR report screen. For a detailed explanation of the FTR report, please see the article of the Help Portal on FTR Reports.
  • FTR Status: Displays the status of the FTR.
  • FTR Created By: Displays the username that created the FTR.
  • FTR Created Date: Displays the date when the FTR was created.
  • FTR Updated By: Displays the username who last updated the FTR.
  • FTR Updated Date: Displays the date on which the FTR was last updated.
  • Amount: Displays the amount for which the FTR was raised.
  • Last Column: Displays the linked GMS projects which are included in the FTR on the mouse-over of  icon.

You can click on the underlined columns’ titles to sort the projects. For instance, if you click on ‘FTR created date’, the FTR instances will be listed chronologically, as per the creation date, as indicated by the orange arrowClicking a second time on the column’s title will sort the data in the other way around – e.g. for our created date example, FTR reports will be listed from oldest to newest.

To go back to the filters’ page, click on [Show Filters].

If you want to return to the previously generated Tasks Overview page. click on the [Back to Results] icon to return to the previously generated Tasks Overview page.

GMS Tip: How to extract the results in an Excel sheet: 

You can extract the FTR overview as an Excel sheet by clicking on [Export to Excel].
