Location Management

Navigation: System Setup > Configuration Setup > Location Management

Purpose: To Add and Manage Location data attached to Allocation Types

Usage: In order to upload country-based location data into GMS, go the Upload Tab, download the location template, fill in the template and upload into GMS. This location information will be displayed in the Details and Types Tabs. The location data will needed to be added each year, for your convenience if your location data has not changed from one year to the next, you can use the Copy Tab to copy one year's location data to another year.

  • Upload Tab: Upload Admin Levels – Download Location Template / To Upload all the admin levels in standard format (one time): Upload File
  • Details Tab: Enter Location ID, select Allocation Year, Location Name, Location Admin Level, enter P-Code, Latitude, Longitude, then click [Save] button
  • Types Tab: Enter Type Name, Level, Allocation and then click [Add] button

Upload Tab: Top

Navigation: System Setup > Configuration Setup > Location Management > [Upload] Tab

Purpose: To Download and Upload Location data from the Location Template (excel spreadsheet) provided.

Usage:

  • To Download Location Template: Enter the year, for which you wish to retrieve the location template. Next, click the [Download] button. The location template will appear as an excel spreadsheet.

    Field Descriptions:

    • Poolfund ID: System generated pool fund identification code
    • Name: Country Name
    • Year: the year of which this location data is being produced for
    • Administrative structure: <leave blank, this is a header>
    • 1st level: highest location region
    • 2nd level: 2nd highest location region
    • 3rd level: 3rd highest location region
    • 4th level: etc…
    • 5th level:
    • 6th level:
    • Source of the data: Where is this location data coming from
    • Comments: Comments you wish to add
    • Note: Notes you wish to add
    • Administrative level names: Name of location
    • Administrative level codes: Unique code given for a particular region within a country
    • Administrative level: Its location level code that correlates to the Administrative structure
    • Administrative level Longitude: The exact geographical longitude of the particular location
    • Administrative level Latitude: The exact geographical latitude of the particular location
    • Administrative level Parent Code: Correlates with the Administrative level, if a region has a parent region that it is associated to
  • Once you are finished filling in the Location Template offline, save the file on your local computer and upload the file from its saved location on your local computer by clicking on [Choose File] locate and select file and then click the [Upload] button.

Field Descriptions:

  • To Download Location Template: Enter the year, in which you wish to retrieve its location template for. Next, click the [Download] button.
  • To Upload all the admin levels is standard format (one time): Upload completed Location Template here.

Details Tab Top

Navigation: System Setup > Configuration Setup > Location Management > [Details] Tab

Purpose: To manual input Location data into GMS.

Usage:

  • Location Details: Enter the Allocation Year, Location Name, Location Admin Level, P-Code, Latitude, Longitude of the one particular location you are attempting to enter, then click on the [Save] button
  • Location Level: Enter the year, in which you wish to retrieve its location template for. Next, click the [Download] button. The location template will appear as an excel spreadsheet.

    Field Descriptions:

    • Location Details:

      • Location ID: System generated location identification number <leave blank, CANNOT ENTER ANY DATA>
      • Allocation Year: Select from drop down menu, the year that this location data is for
      • Location Name: Name of the location you are entering
      • Location Admin Level: Select 1st level (highest location region)– 6th level (lowest location region)
      • P-Code: unique to a particular year
      • Latitude: The exact geographical latitude of the particular location
      • Longitude: The exact geographical longitude of the particular location
    • Location Level:

      • For Year: Select the year in which you wish to see its location

Types Tab: Top

Navigation: System Setup > Configuration Setup > Location Management > [Types] Tab

Purpose: To Name and Edit location administrative levels and assign to an allocation year.

Usage:

  • Admin Levels: Enter Type Name, Level, Allocation and click on [Add] button. For existing location data, find the location to edit, click on the [Edit] button, Type Name and click on the [Update] button.

Field Descriptions:

  • Type Name: Location Name
  • Level: Location level from 1st level to 6th level
  • Allocation Year: year the location is present

Copy Tab: Top

Navigation: System Setup > Configuration Setup > Location Management > [Details] Tab

Purpose: To Copy locations from a previous year to another year

Usage:

  • Copy Admin Levels: Select the Source Year and Destination Year, then click on the [Copy Location] button.

Field Descriptions:

  • Source Year: The previous year where location data is found
  • Destination Year: The year that you are copying the source location data to
  • Upto Level: User can choose up to what lowest level are they copying the location data for.
