How to make an organization eligible:

Navigation: System Setup > Configuration Setup > Organizations

Purpose: To Create an organization and Mark it as eligible.

Usage: First, the organization is to be created within GMS and then second, the organization is to be marked as 'eligible' within the system. In general, the organization is eligible once its due diligence record is updated. In addition to that, the risk level of the organization should not be “Ineligible” in order to be able to submit new projects. 

1. How to create an organization?

Navigation: System Setup > Configuration Setup > Organizations

Purpose: To Create an organization

Usage:

  1. Type at least the 'Organization Name' and click on [Check Matching Organizations], to determine whether that organization has already been added to the system.

    Field Descriptions:

    • Acronym: Organization's name abbreviation
    • Organization Type: International NGO, National NGO, Other, or UN Agency
    • Organization Name: Name of the organization
  2. If there is not a match, please proceed and enter the following Organization Details:

    Field Descriptions:

    • Parent organization - parent organization of the organization you are creating
    • Contact Person - main contact person for the organization you are creating
    • Title - the job title of the main contact person for the organization you are creating
    • E-mail Address - the email address of the main contact person for the organization you are creating
    • Telephone -
    • the telephone number of the main contact person for the organization you are creatin
    • Postal Address - the postal address of the main contact person for the organization you are creating
    • FTS Code - if the organization has a Financial Tracking System Code, look it up by clicking on the [FTS Organizations List] hyperlink and attach the appropriate code.
      • FTS Code: Once you have clicked on [FTS Organizations List] hyperlink, an xml file will appear. To look up the organization, do select [Ctrl] + [F], in the Find textbox provided, type in the organization name and find the organization within the list provide. Once the organization is located, select the id provided for that organization and copy it. Close this xml file and paste the id in the FTS Code field.

  3. if there is a match, please select the 'matched' organization and enter any new information in the organization details.

2. How to manage eligible organizations?

Navigation: System Setup > Configuration Setup > Organizations > Manage Eligible Organizations

Purpose: To make organization eligible/ not eligible for pool fund.

Usage:

  • Select organization type, enter organization name and acronym and click on [Click to filter] button. It will list down the filtered data. If no filters are provided, it will list down all the organizations in the system.
  • To make an organization eligible for the pool fund, select the organization from "Not Eligible Organization" grid and click on [Mark as Eligible] button, it will move the selected organizations to "Eligible Organization" grid.
  • To make an organization not eligible, select the organization from "Eligible Organization" grid and click on [Remove Eligibility] button, it will move the selected organizations to "Not Eligible Organization" grid.

Field Descriptions:

  • Organization Type: Organization list
  • Organization Name: Name of Organization
  • Organization Acronym: Acronym of the Organization

3. How to view an Eligible Organization

Navigation: Others > Organization Info

Purpose: To view an organization's eligibility.

Usage: The Organization Info will provide you a listing of organizations signed up for a particular country's platform. If under the column 'Has Application Form' the output is marked 'Yes' the organization is eligible, if the output is marked 'No' then the organization is not eligible.
