What’s New on OneGMS - Duplicate Verification for Sub-IP Registrations - August 2025

As part of our ongoing efforts to improve data accuracy and streamline partner management in OneGMS, we are introducing a new feature to check for duplicate Sub-Implementing Partner (Sub-IP) registrations.

This enhancement is designed to help Partners and Humanitarian Financing Units (HFUs) quickly determine whether a Sub-IP already exists in the fund’s records before creating a new profile.  

How the New Duplicate Verification Works

When registering a new Sub-IP, the process will now include an automatic verification step:

  1. Enter Sub-IP Name and Acronym
    1. After entering these fields, the Save button will be temporarily disabled.
    2. You must click the Check Duplicates button to proceed.

  1. System Search
    1. The system will compare the provided name and acronym with existing records.
    2. Any potential matches with 80% similarity or higher will be displayed.

What Happens Next – Four Possible Scenarios

Scenario 1 – No Match Found 
If the system finds no matches, you can proceed with the Sub-IP registration as usual.

Scenario 2 – 100% Match Found 
If the system finds an exact match:

  • The Sub-IP cannot be registered again.
  • Instead, search for the existing Sub-IP in the system and link it to your organization.

Scenario 3 – Partial Match (80%–94%
If the system finds a close but not exact match between 80% and 94%:

  • Review the suggested matches carefully.
  • If you confirm that the Sub-IP you are adding is different from the suggested matches:
  • Certify that it is a separate entity.
  • Provide a short justification in the designated field.
  • You can then proceed with the registration.

Scenario 4 – Partial Match (95%-99%)

If the system finds a close but not exact match of 95% to 99%, contact OneGMS Support Team for approval.

This release is a significant step in improving the reliability of OneGMS data. By introducing this simple verification step, we are reducing errors, avoiding duplicate profiles, and making sure all Sub-IP records remain consistent and easy to manage.
