Once the Agency has sent the Project Proposal for review, the RC/HC will receive it for preliminary review under the status ‘Review Proposal’. 

You can find the Project Proposal on your OneGMS home page, under ‘Project Task List’. Click on this icon s to open the Initial Strategy form or on . if you wish to open the related task page.

Once the project proposal form is opened, review all tabs, and leave comments if necessary. 
 

I)   How to leave, save and edit comments in a tab

All parties involved in the project proposal draft, review and approval have the possibility to leave comments. This is particularly important when corrections are required, and the project proposal is sent back to re-draft. 

Comments can only be inserted at the tab level and at specific workflow stages, depending on the user role. More specifically, you can only save comments when the project proposal is active under your user role. For instance, the RC/HC will be able to save comments at the ‘I ‘Review Proposal’ step of the workflow, while the Agency will be able to leave comments at ‘Project Proposal: Redraft’ step of the workflow. 

The comment box provides you with text formatting tools:

Leave a comment

There are two possible ways to leave a comment:  

  1. To add a comment, you can go to the bottom of the tab, enter the comments within the comments section provided and click on [Save Comment]

      2. You can also click on the comments’ icon we  located in the lower right margin of the screen. Once you have left your comment, click on [Save]

Once saved, the comment(s) will be displayed at the end of the page, below the comment section. The comments trail will provide information on the user who wrote the comment, the date and time stamp of the comment, the workflow status in which the comment was made, and the comment itself.

This icon . will be displayed on the tab, to indicate that a comment has been left.

Edit or delete a comment

You can edit the comment by clicking on .or delete it by clicking on sa

View and print all comments  

You can open all the comments that were made in one tab by clicking on ‘View all comments’.

It will open a new window from which you will be able to view, edit and print out all the comments. To print the comment(s), click on ‘Print Comments’.

II)  How to leave, save and edit comment in the ‘Budget’ tab

You can also leave a comment against each tab of the 'Budget' tab. To do so, click on this icon ds

On the pop-up window, enter your comment and click on [Save].

If you want to delete or edit the comment, click on this icon ds to open the pop-up window. You can then edit the comment, or delete it by clicking on ..

III) Documents tab

On this tab, you can examine all the documents pertaining to the project proposal the Agency may have uploaded. If you wish to download all the documents that were uploaded by the Agency, click on [Download All].

To download only one document, click on .. You can hover over this icon .to display the contact detail of the user who uploaded the document and the date and time stamp of the document.

IV) Task page

After you have reviewed the project proposal, click on [Continue] on the top of the page to open the task page.

The task options page displays all the tasks you can perform at this stage. You can click on a task to open its dedicated article.

  • Accept Proposals: click here if you approve the project proposal from the Agency and you believe it is ready for CERF review. Once all proposals of the allocation are accepted, you will be able to submit the full application to CERF.
  • Send back to Agency: click here if you believe changes are required in the proposal before sending the full application to CERF. Please save your comments at the bottom of each project proposal's tab, indicating what needs to be changed. This button will trigger a task for the Agency to edit the proposal.
  • Request Withdrawal: click here to request the withdrawal of this project from the allocation. The withdrawal concerns this project only, not the full application, and will need to be confirmed by CERF.
